Hotel Cancellation Policy: Non-Refundable Charge After February 12.

Cancellations made after Thursday, February 12, 2026 will incur a non-refundable charge for the first night of each reserved room, billed to the credit card on file.

This policy ensures fair access to the event hotel and reduces last-minute cancellations that limit availability. Please finalize changes before February 12, 2026 to avoid fees and secure your spot at the JW Marriott Hill Country for the Viva Fresh Expo.

HOTEL CANCELLATIONS & CHANGES POLICY

Non-Refundable Charge for First Night on each Room
On February 12th, 2026 the credit card on file will be billed a non- refundable charge for the first night of each room reserved. As you know, the Viva Fresh Produce Expo is the region’s premier fresh produce event and hotel rooms are in high demand. Unfortunately, in the last few years Viva Fresh has experienced a significant number of room cancellations in the final days before the event, due to “company overbooking”. This is disappointing because Viva Fresh planners want as many attendees to have access to the event hotel as possible. When excess rooms are booked at the event hotel, it requires other attendees to book at overflow hotels. It’s disappointing to learn near the start of the event that many rooms have been released leaving no time for rebooking without other related fees that include both cancellation and contract block expectations. To continue to maintain a best in class show and reduce cancellation exposure costs, Viva Fresh is focused on ensuring as many show attendees as possible can enjoy the host hotel.
